How Meeting Planner AI's Fairness Algorithm Works Behind the Scenes

Most meeting planners simply display colored bars and leave the cognitive load of finding an intersection to human eyes. Meeting Planner AI takes a different approach: an algorithmic fairness evaluation that scores all 24 hours of the day.

How the Algorithm Ranks Slots

Each candidate hour is evaluated across all active participants regardless of how many locations you configure. The algorithm assigns a convenience weight based on each attendee's local hour relative to their custom working hours

• Core Hours (e.g. 9:00 AM – 5:00 PM): 0 penalty points (100% satisfaction).
• Flexible Hours (7:00 AM – 9:00 AM or 5:00 PM – 8:00 PM): Minor penalty (12 points per attendee). Tolerable for occasional important calls.
• Late Evening / Early Dawn (8:00 PM – 10:00 PM or 6:00 AM – 7:00 AM): Moderate penalty (28 points per attendee).
• Deep Sleep (10:00 PM – 6:00 AM): Heavy penalty (45 points per attendee).

Minimizing Inconvenience Variance

A schedule where one person takes a meeting at 2:00 AM while everyone else enjoys 2:00 PM is penalized far more heavily than a slot where two people take the call at 8:30 AM and 6:30 PM. The algorithm balances the compromise so no single person carries all the burden.

The result is the Top 3 Meeting Slots: clearly labeled with their match percentage, participant local clocks, and immediate 1-click export to Google Calendar and .ICS files.
